Scheduled Tasks
Never miss important accounting deadlines with built-in task management.
Overview
Scheduled Tasks helps you track important deadlines and to-do items for your accounting workflows. Each company has its own task list, keeping your obligations organized across multiple businesses.
Key features include:
- One-time or recurring tasks - Create tasks that happen once or repeat on a schedule
- Visual status indicators - Pending tasks shown in blue, overdue in red
- Priority levels - Mark tasks as high, medium, or low priority
- Dashboard widget - See upcoming tasks right on your dashboard
Creating Tasks
- Go to Settings in the sidebar
- Click Scheduled Tasks
- Click the Add Task button
- Fill in the task details:
- Title - Brief description (e.g., "Quarterly Estimated Taxes")
- Description - Additional details (optional)
- Due Date - When the task is due
- Priority - High, Medium, or Low
- Recurrence - None, Daily, Weekly, Monthly, Quarterly, or Annually
- Click Save Task
Common Tasks to Track: Quarterly estimated taxes, monthly bank reconciliation, bi-weekly payroll processing, annual 1099 preparation, sales tax filings, W-2 distribution deadlines.
Recurring Tasks
For tasks that repeat on a schedule, set the recurrence pattern when creating the task:
- Daily - Repeats every day
- Weekly - Repeats every week on the same day
- Monthly - Repeats monthly on the same date
- Quarterly - Repeats every 3 months
- Annually - Repeats once per year
When you mark a recurring task as complete, the system automatically creates the next occurrence based on your recurrence pattern.
Example: Monthly Bank Reconciliation
- Create task: "Monthly Bank Reconciliation"
- Set due date to the 5th of the current month
- Set recurrence to Monthly
- When you complete this month's reconciliation, the task regenerates for next month
Managing Tasks
Viewing Tasks
Tasks are displayed as cards showing:
- Title and description
- Due date with status indicator (blue = pending, red = overdue)
- Priority badge
- Recurrence pattern (if recurring)
Completing Tasks
- Click the Complete button on the task card
- The task moves to completed status
- If recurring, a new task is created for the next occurrence
Editing Tasks
- Click the Edit button on the task card
- Update any fields as needed
- Click Save
Deleting Tasks
- Click the Delete button on the task card
- Confirm deletion
Note: Deleting a recurring task removes the entire series, not just the current occurrence.
Task History
Completed tasks are tracked in your task history, allowing you to review your consistency over time. Access task history from the Scheduled Tasks section.
